Batch Traceability

From physical unit to verified batch record

Answer first: Batch traceability is the documented chain connecting a physical research unit to its product record, lot identifier, supplier or manufacturing record, analytical evidence, release decision and customer transaction. Traceability fails when any link is ambiguous or can be silently replaced.

The minimum traceability chain

A controlled record should connect product and SKU, lot or batch identifier, receipt or production event, testing sample, source report, approved specification, release decision and distributed units.

Why filenames are not enough

A certificate filename can be copied or renamed. Traceability depends on identifiers inside the controlled source document and on a system record showing which evidence version was attached to which lot.

Corrections and supersession

When a record changes, preserve the previous version, reason for change, effective date and approving authority. A corrected document should not silently overwrite the evidence used for an earlier decision.

Buyer verification fields

A buyer-facing lookup should expose the product, lot, document types, publication status and version without exposing proprietary or personal data. Demonstration data must be unmistakably labelled.

FDA data-integrity guidance describes complete, consistent and accurate records as foundational to trustworthy decisions. The same principle applies to procurement traceability and controlled document histories.
